1. Who We Are
iDMC Swiss is a trading name of International DMC Ltd, a company registered in England and Wales (Company No. 12657338). Registered office: 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. International DMC Ltd is the data controller for personal data collected through www.idmcswiss.com and in the course of providing our services. For GCC engagements, invoicing may be handled by our affiliate International DMC LLC (Dubai); where it does, that entity acts under the same standards set out here. International DMC Ltd is registered with the UK Information Commissioner’s Office as a data controller (registration reference to be confirmed and inserted before go-live).
Your privacy isn’t a formality to us — it is part of the trust your delegation places in our hands. We will never sell your data — not to a third party, not for money, not for profit, not for marketing lists.
The details you share are used for one purpose: to respond to your enquiry and coordinate your requirements. We do not add you to mailing lists you did not ask for, we share your information only with the suppliers strictly necessary to deliver your service, and you can request deletion at any time. Discretion is the foundation of how we work.
2. The Data We Collect
We collect personal data when you submit an enquiry form, contact us by email, telephone or WhatsApp, or enter into a service agreement with us. Depending on how you interact with us, this may include:
1. Identity and contact details — full name, job title, company, email address and telephone number.
2. Enquiry and programme details — the services you are interested in, travel dates, delegate numbers, budget range and any requirements or information you choose to provide.
3. Contract and financial details — where you become a client, the information necessary to deliver and invoice the engagement (we do not store full payment-card numbers; card payments, where taken, are handled by a regulated payment provider).
4. Communications — the content of messages exchanged with us, including via email and WhatsApp (messages sent through WhatsApp are also processed by Meta under its own terms).
5. Technical and usage data — IP address, browser type, device information and pages visited, collected through cookies and analytics where you have consented (see Section 5).
We do not intentionally collect special-category data (such as health, religion or biometric data). Where a programme genuinely requires a dietary, accessibility or similar preference, we process only the minimum necessary to deliver the service and treat it with particular care.
3. How We Use Your Data
1. Respond to your enquiry and provide the services you request.
2. Prepare and send service proposals, quotes and programme documentation.
3. Fulfil our contractual obligations where a service agreement exists.
4. Send insights and planning guides where you have specifically consented.
5. Maintain our business records and comply with our legal obligations under UK law.
We do not use your data for automated decision-making or profiling, and we do not sell your data to third parties.
4. Legal Bases for Processing (UK GDPR)
1. Legitimate interests — responding to enquiries and running our business, balanced against your rights.
2. Contract performance — where we are arranging or delivering services for you.
3. Consent — for optional marketing communications and non-essential cookies, withdrawable at any time.
4. Legal obligation — where we must retain or disclose data to comply with the law.
5. Cookies & Analytics
Our website uses a small number of cookies. Strictly necessary cookies are required for the site to function and for form security (including spam protection via hCaptcha). Analytics and performance cookies (for example Google Analytics) are set only after you give consent through our cookie banner, and you can change or withdraw that consent at any time. A separate cookie notice on the site lists the specific cookies, their purpose and duration.
6. Who We Share Your Data With
We share personal data only where necessary, and under appropriate confidentiality and data-protection terms, with:
1. Suppliers engaged to deliver your programme — for example hotels, transport operators, venues and ground partners.
2. Service providers who process data on our behalf — website hosting, email delivery, spam protection (hCaptcha), website analytics and, where used, a customer-relationship system.
3. Professional advisors — such as our accountants or legal advisors — and authorities where we are required to disclose by law.
We do not share your data with third-party marketing companies, and we never sell it.
7. International Transfers
Because we operate in Switzerland and coordinate programmes internationally, some of your data may be transferred to suppliers or service providers outside the UK — for example in Switzerland, the European Economic Area, the GCC region or, in the case of certain technology providers, the United States. Where we transfer data outside the UK, we rely on an adequacy decision where one applies (including for Switzerland and the EEA) or on appropriate safeguards such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.
8. Data Retention
We keep enquiry data for up to 24 months from your last contact with us. Client and contract data is kept for up to 7 years to meet UK accounting and legal requirements. You may request deletion at any time, and we will comply except where we have a continuing legal obligation to retain specific information.
9. Data Security
We protect your data with technical and organisational measures appropriate to its sensitivity, including encryption in transit (HTTPS/TLS across the site and all forms), access controls, and confidentiality obligations on everyone who handles it. As a founder-led operation, access to client information is tightly limited. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data and to respond promptly to any incident.
10. Your Rights
Under UK GDPR you have the right to:
1. Access — request a copy of the personal data we hold about you.
2. Rectification — request correction of inaccurate or incomplete data.
3. Erasure — request deletion where there is no continuing legal reason to retain it.
4. Restriction — ask us to limit how we process your data.
5. Portability — receive certain data in a portable, machine-readable format.
6. Objection — object to processing based on our legitimate interests.
7. Withdraw consent — at any time, for any consent-based processing.
To exercise any of these rights, contact irfan@internationaldmc.com. We respond within one month. If you are not satisfied, you may complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.
11. Children’s Privacy
Our services and website are intended for business and professional use and are not directed at children under 18. We do not knowingly collect personal data relating to children. If you believe a child has provided us with personal data, please contact us and we will delete it.
12. Changes to This Policy
We may update this policy from time to time. The current version is always available on this page, with the “last updated” date shown above. Material changes will be made clear on the website.
